Position Summary
The HR & Operations Lead is responsible for overseeing the day-to-day human resources operations across the organization, ensuring an exceptional employee experience from recruitment through offboarding. This role serves as the primary point of contact for managers and employees on HR-related processes, policies, performance management, employee relations, and operational coordination.
The HR & Operations Lead works closely with hiring managers to support recruitment efforts, leads onboarding and offboarding activities, manages employee documentation and compliance, coordinates leave administration, and helps foster a positive, high-performing workplace culture. This role also provides guidance to the Junior Recruiter and partners with leaders to continuously improve HR processes and operational efficiency.
This is a hands-on role ideal for someone who enjoys building processes, supporting leaders, improving employee engagement, and creating a best-in-class employee experience.
Key Responsibilities
Recruitment & Talent Acquisition
- Partner with hiring managers to understand staffing needs and develop recruitment strategies.
- Oversee and provide direction to the Junior Recruiter throughout the recruitment process.
- Review job postings and ensure they accurately reflect business needs.
- Monitor candidate pipelines and recruitment metrics.
- Identify new sourcing opportunities, educational partnerships, networking events, and community outreach initiatives to strengthen the organization's talent pipeline.
- Continuously improve recruitment processes and employer branding.
Onboarding
- Coordinate and oversee all employee onboarding activities.
- Prepare and issue employment agreements and onboarding documentation.
- Set up new employees within the HRIS.
- Coordinate with IT to ensure all equipment, system access, email accounts, and phones are ready for employee start dates.
- Send welcome communications and onboarding schedules.
- Coordinate new employee orientation and training.
- Ensure all required employment documentation and policy acknowledgements are completed.
Employee Relations
- Serve as a trusted resource for employees and managers regarding HR policies and procedures.
- Assist managers in addressing employee concerns and workplace issues.
- Support managers with probationary reviews, performance improvement plans, coaching documentation, and disciplinary processes.
- Attend employee meetings where HR support is required.
- Maintain confidentiality and professionalism when handling sensitive employee matters.
Performance Management
- Coordinate and conduct employee performance reviews.
- Work with managers to establish performance goals and development plans.
- Track probationary review periods and annual review schedules.
- Support managers in delivering meaningful performance feedback.
- Identify training and development opportunities.
Leave & Attendance Administration
- Manage employee vacation requests and leave approvals.
- Coordinate employee absences with department managers to ensure appropriate coverage.
- Guide employees through maternity, parental, medical, and other statutory leaves.
- Assist employees with required documentation and explain company processes related to leaves of absence.
- Maintain accurate attendance and leave records within the HR system.
Offboarding
- Coordinate all employee departures, including voluntary resignations and involuntary terminations.
- Attend termination meetings as required.
- Prepare and distribute termination documentation.
- Coordinate final payroll information with Finance.
- Ensure all company property is returned.
- Coordinate with IT regarding account deactivation, email forwarding, phone forwarding, and system access removal.
- Conduct exit interviews and identify organizational improvement opportunities.
HR Policies & Compliance
- Develop, implement, and maintain HR policies and procedures.
- Maintain and regularly update the Employee Handbook.
- Ensure employees complete required policy acknowledgements.
- Coordinate employee training on company policies and workplace expectations.
- Maintain employee files and HR documentation in accordance with legal and organizational requirements.
- Monitor legislative changes and recommend policy updates where appropriate.
Employee Experience & Culture
- Lead initiatives that promote employee engagement, recognition, and workplace culture.
- Organize employee appreciation and wellness initiatives.
- Support internal communication initiatives.
- Partner with leadership to build a positive, inclusive, and collaborative workplace.
- Recommend improvements to enhance employee satisfaction and retention.
HR Operations
- Maintain employee records and HRIS data accuracy.
- Develop and improve HR workflows and operational processes.
- Produce HR reports and metrics to support decision-making.
- Recommend process improvements to increase efficiency and consistency.
- Support organizational growth initiatives and special projects.
Mergers & Acquisitions (M&A) Integration
- Partner with leadership throughout the acquisition process to support the successful integration of new businesses and employees.
- Participate in HR due diligence by reviewing organizational structures, employee information, policies, employment agreements, benefits, and HR practices of prospective acquisitions.
- Coordinate the onboarding and integration of newly acquired employees into the organization.
- Prepare and issue new employment agreements and required onboarding documentation where applicable.
- Coordinate the migration of employee records into the HRIS and ensure accurate employee data.
- Partner with IT, Finance, Payroll, and department leaders to ensure seamless employee transitions.
- Communicate HR processes, policies, benefits, and company expectations to newly integrated employees.
- Identify opportunities to standardize HR policies, procedures, and documentation across acquired businesses.
- Develop and execute integration plans that support employee engagement, retention, and operational continuity.
- Assist leadership with organizational restructuring, reporting relationships, and workforce transition planning during acquisitions.
- Support change management initiatives by helping employees navigate organizational changes and fostering a positive transition experience.
- Maintain confidentiality while handling sensitive acquisition-related information.
Qualifications
Education
- Diploma or Bachelor's Degree in Human Resources, Business Administration, or a related field preferred.
- CHRP designation or working toward designation is considered an asset.
Experience
- Minimum 5 years of progressive Human Resources experience.
- Previous experience in an HR Manager, HR Generalist, or similar leadership role.
- Experience supporting multiple departments or business units is considered an asset.
- Experience supervising recruitment activities or junior HR staff is preferred.
Knowledge & Skills
- Strong knowledge of employment legislation and HR best practices.
- Experience with Human Resource Information Systems (HRIS).

Compensation
$65,000.00 - $75,000.00 per year
